Privacy Statement and Disclaimer Profource B.V.

Profource B.V. (hereinafter: Profource) is a company that secondes consultants to companies and institutions that want to optimize their administrative processes and provides SAAS/Cloud services. Profource is part of the Redmore group, which will handle inquiries and requests for Profource and under its responsibility.
We take the privacy of stakeholders such as customers, job applicants, candidates and interested parties very seriously. We will adequately and carefully protect (Personal) data that we obtain. In doing so, Profource complies with applicable laws and regulations and its policies. 

This privacy statement states how we handle the obtained personal data that via this website or social media service. It also states that we are not responsible for the accuracy of information on our website.

What personal data do we collect and why?

Only personal data that is necessary for our purpose is collected. We collect the following data via our website or social media service:

Newsletter

In case you would like to be kept informed of news about Profource B.V., you can sign up for our newsletter. Based on your consent, we collect the following:

  • Email Address
  • Name

We use this information for the following purposes:

  • Sending news about Profource B.V.;
  • Sending news about events;
  • Sending information about our services and other marketing purposes

Recruitment and Application procedure for a vacancy

In case you want to be eligible for one of our vacancies that are published through our website or social media channels, we collect the following data with your permission:

  • First name
  • Last name
  • Phone number
  • E-mail address
  • Personal data in the CV document

We use this data for the following purposes:

  • Assessment of a candidate’s suitability
  • Contact a candidate
  • Creation of a digital file of the candidate
  • Gathering information through the website to determine statistics regarding the operation and use of the website and the origin of the application

 

In the event that you (during the selection procedure) turn out to be a suitable candidate,

the recruitment process starts. For the recruitment process we collect the following data

with a view to the possible conclusion of an agreement:

  • Name and address details
  • Date of birth
  • Gender
  • E-mail address
  • Telephone number
  • CV including education and skills and work history
  • Results of the pre-employment assessment, employee notes

We use this data for the following purposes:

  • Assessment of a candidate’s suitability for a vacancy
  • Contact a candidate
  • Creation of a digital file of the candidate
  • Conducting pre-employment screenings

If we are not able to collect this data, no agreement can be concluded.

  • We also use the email address and name and address details for:
    Gathering information through the website to determine statistics regarding the operation and use of the website and the origin of the application

Employment services

In the event of an open application for a job, certain assignment or, depending on if this service is offered by ITDS Group B.V, another request for mediation to be hired somewhere with our help, the same data is collected as in the recruitment procedure.

Cookies

Cookies are small text files that can be used by websites to make user experiences more efficient.

The law allows us to store cookies on your device if they are strictly necessary for theuse of the site. We need your consent for all other types of cookies.

Legal bases of processing

Permission

Personal data is only collected with your permission. A person is always free to withdraw this permission without affecting the lawfulness of the processing of the data.

Legitimate interest

Your privacy is very important to us. In the event that we use your personal data, this will be

based on legitimate concern.

A balancing of interests for the importance of physical security, IT and network security,

processing for research purposes, prevention of fraud, misuse of services or money laundering can turn out in our advantage.

A balancing of interests for direct marketing or other forms of marketing, unsolicited non-

commercial communications, or freedom of information of the data subject, will be in favor of the person involved.

Necessity for the execution of the agreement

If you are going to apply, the processing of the personal data that you share will be based on: the necessity for the execution of the agreement. Without that data, there is no

employment contract.

Legal basis

Only when you are employed at Profource B.V. we process personal data on a legal basis. The processing of this data and your privacy rights are described in our Internal Privacy Policy.

Who receives your personal data?

Profource B.V. shares personal data within Profource B.V. only with employees who have the required data for the purpose. These employees handle this data confidential. The personal data is only stored by us in the Netherlands.

Profource B.V. engages third parties that process personal data for Profource B.V. These third parties are suppliers of business solution software, (employees of) suppliers who provide education and training and suppliers of screening solutions. Profource B.V. operates close to all processors of personal data processing agreements.

Profource B.V. also shares personal data with its sister, daughter and/or parent companies. Sharing data within the various entities of Redmore or the sharing data within the group of entities owned and controlled by House of HR N.V., our shareholder, falls, is controlled by an intragroup framework agreement, where clear agreements are made about the purpose (such as (security) campaign purposes, IT purposes or for joint projects), the resources, the role of the parties and the technical and organizational control measures that the parties must adopt.

How long do we keep your personal data?

Profource B.V. does not store the personal data for longer than is necessary for the purposes for which they are processed. In our considerations for determining retention periods we take legal obligations or guidelines from the Dutch Data Protection Authority as point of departure.

With the exception of the storage of cookies, whose retention periods are mentioned in the cookie statement, we use different retention periods for personal data. These are described in the processing. This is how we store your data to send you a newsletter as long as this is described when you register for the newsletter. For an application for a specific vacancy, we will store your data for up to 4 weeks after completion of the application, unless you have indicated that you agree that we will keep your data safe for future use. For job placement we keep your data for up to 2 years after your open application or application.

How do we protect your personal data?

 Profource B.V. takes appropriate technical and organizational measures to protect personal data. Access to personal data is limited to employees for whom the processing of personal data is necessary for the performance of their activities

How do you exercise the rights of the data subject?

To submit the request to view, change or delete your personal data, object to the use of your personal data or to withdraw permission to use your personal data, you can contact us. Mention in the subject line which right you wish to appeal to. Use the CopyID app from the Dutch government to add an edited copy of your proof of identity to the email, which you can address to privacy@redmore.eu.

Are you dissatisfied with the way we handle your personal data? You can reach us via the contact details below. If we cannot reach an agreement you can file a complaint with the Dutch Data Protection Authority.
